PAYMENT POLICY
(Extracted from the full Policy Document adopted January 2005)
Rainbow Teddies Pre-school endeavours to operate a fees payment system that is both fair and reasonable to all parties involved. On joining the group it is expected that all parent/carers will abide by the Policies of the group, including the payment of fees.
In order that payment of fees is conducted on a fair and reasonable basis the following will apply:
- A place is secured for non grant children with a £10 non-refundable registration fee payable at the time of acceptance of the place.
- Fees are set by the Management Committee and are reviewed annually.
- At the beginning of the term a fees envelope will be presented by the Fees Treasurers to all those who are due to pay fees during that term. The fees should be paid within 21 days of the start of the term.
- It is the parent/carer’s responsibility to pay the fees by the due date.
- Parent/carers of eligible children will be invited to claim the Local Authority Nursery Grant and produce the relevant documentation for our records.
- The Nursery Grant will cover the full cost of the sessions claimed up to a maximum of 38 weeks per year. *See below
- Where a Grant eligible child attends Rainbow Teddies Pre-school for more than one session a week and where the parent/carers choose to use their Nursery Grant entitlement at another setting, fees for Rainbow Teddies Pre-school will be charged at the current equivalent of the Nursery Grant for all sessions attended.
- Any difficulties with any payments should be made known to the Leader of the session, group Manager, Chair or Treasurer of the Management Committee as soon as possible.
- In special circumstances, at the Committee’s discretion, a flexible payment system can be negotiated. However, if fees are defaulted under this flexible payment system then the availability of the system will be withdrawn and the total fees will be due immediately.
- If full payment of fees, regardless of payment system, is not cleared by the end of the term the Committee may, reluctantly, have to consider the withdrawal of the child’s place. In this instance, the parent/carer will be notified by letter.
- Where a flexible payment system is agreed i.e. a spread payment system, and the child leaves the group prior to the end of the academic year, the full amount of fees due for the sessions attended up to the date of leaving will be due. The Fees Treasurers will calculate the amount due and the parent/carer will be invoiced for the outstanding balance. The payment will be requested immediately.
- There will be no refund of fees due to illness or holidays. However, a refund/reduction of fees for non-attendance due to long-term illness will be negotiated with the Committee.
- We will require a 4-week paid notice if a parent/carer wishes to reduce the number of sessions allocated to their child.
* The Local Authority Nursery Grant covers 38 weeks per year. Following South Gloucestershire guidelines (see Nursery Grant Claim Form EY4) parents will be liable to pay the cost of any additional sessions/hours allocated to their child/children over and above those covered by the Nursery Grant.
Please contact the Session Leader with any payment problems or ring the Pre-school Manager, Lesley Shorey. |
